Job Overview:
We are seeking a highly organised and experienced Events and Bookings Manager to oversee the planning, coordination, and execution of events held at our establishment. The ideal candidate will be responsible for managing event bookings, liaising with clients, coordinating logistics, and ensuring seamless execution of various events to meet and exceed client expectations.

Responsibilities:
Event Planning and Coordination:
Manage all aspects of event planning and execution, including weddings, corporate events, private parties, and other special occasions.
Liaise with clients to understand their event needs, offer guidance, and ensure all requirements are met.
Liaise with marketing team and management to plan in-house events (e.g. Halloween, Diwali, Christmas etc.)

Bookings Management:
Handle inquiries and bookings for events, coordinating availability and scheduling with relevant departments.
Regularly update event management platforms with new information, menus, images and other relevant content.
Maintain accurate records of bookings, contracts, and payments.

Logistics and Vendor Coordination:
Coordinate logistics such as decorations, entertainment, and equipment rental for events.
Collaborate with vendors and suppliers to ensure timely delivery and execution of services.

Event Staff Supervision:
Recruit, train, and supervise event staff, including servers, event coordinators, and support personnel.
Ensure that staff are well-prepared and provide excellent service during events.
Lead team briefings prior to each event.

Budget Management:
Develop and manage event budgets, ensuring profitability while meeting client expectations.
Monitor expenses, negotiate contracts, and seek cost-effective solutions without compromising quality.

Client Relationship Management:
Build and maintain strong relationships with clients, addressing their concerns and ensuring satisfaction.
Explore new working relationships with event companies/agents.
Host site visits.
Act as the main point of contact for clients throughout the event planning process.

Requirements:
Proven experience with at least 1 year in event planning, preferably in a managerial or supervisory role.

Familiar with the following event management platforms: DesignMyNight, Venuescanner, Tagvenue,
Hire Space, Sqauremeal (preferred but not essential)
Strong organisational and multitasking abilities with exceptional attention to detail.
Excellent communication and interpersonal skills to interact effectively with clients, vendors, and staff.
Proficiency in event management software and Microsoft Office suite.
