The HR Assistant supports the HR team with the provision of a comprehensive, first class service to both teaching and operational/support staff that facilitates and enable effective people management.
This role has a wide ranging and varied remit supporting all aspects of the employment lifecycle, including the accurate up keep of personnel records and HR databases.
The HR department is a vibrant hub of activity. The HR Assistant will be a key member of the team contributing to the effectiveness and development of the HR function.
The successful candidate will be a good communicator, with a high degree of accuracy and attention to detail, self-motivated and used to organising their workload to meet deadlines.

• Draft offer letters and process supporting documentation and preemployment checks (references, DBS checks, medicals, etc)
• Draft contracts of employment
• Make up files for new staff and update systems
• Maintain staff files and archive files of ex-staff
• Write correspondence including letters and emails
• Draft termination letters and update systems
• Acknowledge resignations and organise exit interviews
• Filing Some files are still kept in paper form
• Deal with enquiries received verbally and in writing in a professional and courteous manner
• Diary end of probations. Produce and distribute review documentation
• Support the staff appraisal process and associated documentation
• Complete all administration tasks related to the College’s medical cashplan scheme
• Update and maintain staff information systems, both manual and computerised
• Identify and recommend changes to current systems and procedures to ensure high standards of service are maintained Recruitment
• Prepare and arrange interview timetables and correspondence to candidates
• Assist with the co-ordination of the interview process including collecting candidates from Reception and escorting them around the College’s campus for interviews
• Prepare and send correspondence to applicants following application and interview
• Co-ordinate social media checks
• Collate and archive notes from interviews
• Send out satisfaction surveys post recruitment
• Update the HR recruitment database Compliance
• Provide support to the team in relation to the process of completing vetting/safeguarding checks for all staff including:
• Completing DBS checks/checking if DBS is registered on the update service;
• Tracking progress of DBS checks and ensure DBS certificates are received and recorded.
• Obtaining references for staff and monitoring/chasing these accordingly
• Carrying out document and safeguarding checks for all staff
• Chasing outstanding documents
• Clear staff to work in an efficient and timely manner
• Administer the safeguarding/child protection training of new joiners
• Enter dates of vetting checks on to the database
• File paperwork on personal files
• Check our database and personnel files to ensure that staff havecompleted all the relevant information
• Ensure staff details are recorded accurately on our database
• Ensure that the Single Central Register is up to date and accurate
• Carry out audits on the Single Central Register of Appointments to ensure accuracy
• Initiate and complete the renewal of DBS checks
• Comply with College management systems and procedures including accurate database management, including annual database cleansing
• Communicate with the team regularly to ensure they are aware of the status of the vetting checks
• Take part in weekly HR meetings to update the team on candidates who are cleared and ready to work

Additional Duties
• Greeting and assisting visitors to the HR Department
• Answer any queries from staff in an efficient and professional manner
• Treat all information received in an appropriate manner and at all times demonstrate discretion and comply with the provisions of the Data
Protection Act 1998 (and the General Data Protection Regulation (GDPR) and the College’s own privacy policies
• Assist the Payroll Administrator with tasks as and when required (chasing of rents, cleansing data on iTrent, filing of sickness absence paperwork, etc)
• Undertake such additional duties as might be reasonably requested by their line manager or senior team members
All staff have a responsibility to safeguard and promote the welfare of children. The post holder will undertake the appropriate level of  training and is responsible for ensuring that they understand and work with the safeguarding policies of the organisation.
All staff must take care of their own health and safety and that of others, observe applicable safety rules, follow instructions for the safe use of
equipment and co-operate with managers on health and safety matters (including the investigation of any incident).

Essential qualifications and experience
• Experience of working in an office environment providing administrative support
• Working within a team and supporting the team to achieve its objectives
• Experience of managing a varied workload, prioritising accordingly whilst focussing on key objectives.

Desirable qualifications and experience
• Broad generalist HR experience with working knowledge of HR best practices
• Previous experience of working in a school

Essential technical skills
• High degree of competence in Microsoft packages, particularly Word and Excel
• Hands-on experience of operating a computerised Information System, iTrent would be an advantage
