Apprentice Recruitment & Staff Bank Administrator

Viapath are looking for an Apprentice Recruitment and Staff Bank Administrator to deliver an efficient and accurate recruitment administration service for both the Staff Bank and permanent recruitment team. You will also be Supporting activities associated with recruitment and the elements of the employee lifecycle.

This role will require you to undertake (but not be limited to) the following duties and responsibilities:

  • Undertake recruitment administration as required using electronic applicant tracking system, currently Trac and housekeeping of the Staff Bank system, currently Clarity
  • Coordinating and supporting the end to end recruitment process including, posting job adverts, preparing offer letters and contracts, conducting pre-employment checks on all new employees which includes checking ID’s and requesting and following up references. This will also extend to candidates registering with the Staff Bank
  • Work with Payroll to ensure new starters are set up and internal moves are communicated in a timely manner
  • Maintain availability of Staff Bank pool of candidates, selecting appropriate candidates to fill requirements and assign on the Staff Bank system, currently Clarity.
  • Support with booking of Locum staff from external suppliers where operationally required
  • Ownership of departmental mailboxes ensuring emails are responded to in a timely manner and escalated where appropriate
  • Logging the expiry of fixed term contracts and Visa expiry
  • Creating and filing accurate personnel records for permanent and contract staff, ensuring the electronic file is kept up to date with all required documentation
  • Assisting with assessment centres for roles within the organisation
  • Ensure the recruitment database is accurate and kept up to date
  • To ensure all changes to terms and conditions are communicated to the Payroll and wider HR team
  • Effectively deploy bank workers to varying assignments using the Clarity technology to facilitate this process
  • Investigate timesheet queries as requested

  • Prior experience of working in an office environment
  • Customer service experience
  • Excellent interpersonal skills
  • Ability to build and maintain relationships with internal and external suppliers and customers
  • Excellent time management skills with the ability to prioritise workload and be flexible and able to meet strict deadlines
  • The ability to work under pressure and multitask whilst maintaining accuracy
  • Use your own initiative
  • Have the ability to recognise your limitations
  • Clear and accurate written and verbal communication
  • Excellent IT skills e.g Excel spreadsheets, databases and word processing

It is desirable but not essential that the post holder also:

  • Has previously worked within a staff Bank or agency recruitment background
  • Has recruitment Administration experience
  • Previous experience of working with confidential, sensitive data
