Duties:

Making a Difference

  • Represent the company in a presentable and professional manner always ensuring that actions are taken to make a difference wherever possible
  • Build trust within the business ensuring that everyone is fully committed to delivering the same company standards
  • Ensure company delivery procedures are adhered to across all tasks
  • Be prepared to innovate when opportunities arise/take on more responsibilities

 

Office Ownership

  • First point of contact for office queries i.e. answering the phone within 3 rings and greeting all head office visitors
  • Be responsible for the phone directory and scanner – Keeping it up to date at all times, taking new starters and leavers into account
  • Ensure the office space ensuring it is used correctly and most efficiently
  • Ensure all office signage ensuring it is up to date at all times
  • Manage maintenance and external contractors to repair and service office furniture and appliances (air-conditioning, Billi tap etc).
  • Responsible for the cleanliness and maintenance of the head office, including kitchen, storage, furniture, plants, cleaners and crockery
  • Manage relationship with the cleaners
  • Responsible for yearly PAtesting and obtaining a report
  • Take electricity meter readings monthly and upload to Bulb website
  • Manage office spending
  • Ensure cost effective running of the office
  • Responsible for ordering food and drinks for the office and company team meetings

Team Administration

  • Responsible for employee training matrix, ensuring all H&S training is up to date for all employees and courses are booked in advance and most efficiently for the company
  • Responsible for all CSCS card / training for all site teams
  • Responsible for training registers and employee feedback
  • Responsible for organising postage and special deliveries
  • Maintain office files and archiving records
  • Responsible for maintaining all office provisions: stationery, tea, coffee, milk, masks, hand sanitizer
  • Order stationary for the sites
  • Order any lunches/breakfasts required for meetings
  • Provide administrative assistance to the Team Administrator as and when required
  • Responsible for sub-contractor PQQ database and questionnaires
  • Assist with printing out documents when required
  • Responsible for all courier requests from head office or site
  • Assist all colleagues when in the office, ask them all if they require administrative assistance if all tasks have been completed
  • Responsible for all branded items, ensuring all employees have all items required and stocks are replenished when needed
  • Responsible for the meeting rooms – from the calendars to their cleanliness and set up
  • Responsible for ‘hello’ and ‘office’ email inboxes
  • New starter administration, activate key cards, organise starter packs, send DSE assessment and request short bio for the marketing team
  • Responsible for Lovespace collections and deliveries
  • Responsible for the office and basement lockers
  • Update Pingboard as and when staff join/leave the company

Future prospects

  • Should the candidate do well, there will always be room for growth, we have 1 IT apprentice who is now doing another course and we have 2 apprentices in our accounts team.
